This policy explains how LocalQuiver Ltd ("LocalQuiver", "we", "us") collects and uses personal data, and the choices you have. We've written it in plain English. If anything is unclear, email us at hello@localquiver.co.uk.
Who we are
LocalQuiver Ltd is a company registered in England and Wales (company number 17408183). Our registered office is 16 Acacia Road, Balderton, Newark, England, NG24 3AE. For anything about your personal data, contact us at hello@localquiver.co.uk.
Two different roles
We handle personal data in two ways, and this matters for who is responsible:
- As a controller, for our own business: people who visit this website, people who contact us or ask for a free visibility report, and the businesses we work with and their team members.
- As a processor, on behalf of the businesses that use LocalQuiver: the details of their customers that they add to or collect through LocalQuiver, such as review requests, reviews, website enquiries, loyalty members and invoices. Each business is the controller of its customers' data, and we only use it to provide our service to them, under our data processing terms.
If you're a customer of a business that uses LocalQuiver (for example, you received a review request or joined a loyalty card), please contact that business first. We'll help them deal with your request.
What we collect, and why

We only use Google Analytics and Meta's advertising tools if you agree to them in our cookie banner. You can change your mind at any time with the "Cookie settings" link at the bottom of every page. See our cookie policy.
Analytics and advertising
Google Analytics. If you accept analytics cookies, Google Analytics records how you use this website. Google doesn't store your full IP address, and we keep this data for 14 months. Google processes it for us under its data processing terms.
Meta Pixel and Conversions API. If you accept advertising cookies, the Meta Pixel records the pages you visit and actions such as sending a form. When you send a form, our server also tells Meta about it directly (this is called the Conversions API). Before anything leaves our server, your email address and phone number are hashed: turned into a code that can't be read back. We also send technical details: your IP address, your browser, and the identifiers Meta's cookies set. Meta uses this to match the visit to a Facebook or Instagram account, measure our ads, and show our ads to people who've visited our website. Meta and LocalQuiver are joint controllers for collecting and sending this data, and Meta's own privacy policy explains how Meta uses it. If you don't accept advertising cookies, neither the Pixel nor our server sends anything to Meta.
Who we share it with
We don't sell personal data. We share it only with organisations that help us provide our service, under contracts that require them to protect it, and only as much as they need:
- Hosting and database providers, which run our website, app and database.
- Email and text message delivery providers, which send the emails and texts our clients ask us to send.
- Our payment provider, which takes subscription payments.
- AI model providers, which help draft review replies, articles, social captions and images. They receive only the content needed for each task, such as the text of a review.
- Platforms you choose to connect, such as Google, Facebook, Instagram, LinkedIn, TikTok, WordPress and Shopify, when we post, reply or read data on your behalf.
- Data providers that supply public search and map ranking information for reports.
- Google, for website analytics, and Meta, for advertising, but only if you've agreed in our cookie banner.
- Professional advisers, such as accountants and lawyers, when needed.
- Authorities, where the law requires it.
A list of the providers we use is available on request.
Where your data is stored
Our database is hosted in the UK (London). Some of our providers, including the servers that run our app, process data in the United States or the European Union. When personal data leaves the UK, we make sure it's protected: either the country is covered by UK adequacy regulations (such as the UK Extension to the EU–US Data Privacy Framework), or we use the UK International Data Transfer Agreement or Addendum.
How long we keep it
- Enquiries and free report requests that don't lead to working together: 24 months from our last contact.
- Client account data: for as long as you're a client, then 90 days so you can come back or take what you need, after which we delete or anonymise it.
- Invoices and accounting records: six years, as UK tax law requires.
- Server logs: no more than 30 days.
- Google Analytics data: 14 months.
- Your cookie choice: 6 months, after which we ask again.
- Data held by Meta is kept under Meta's own policies.
Your rights
You have the right to:
- ask for a copy of the personal data we hold about you;
- ask us to correct it if it's wrong;
- ask us to delete it;
- ask us to restrict or stop using it, or object to how we use it;
- ask for it in a portable format;
- withdraw your consent at any time, where we rely on consent. For analytics and advertising, use the "Cookie settings" link at the bottom of any page.
To use any of these rights, email hello@localquiver.co.uk. We'll reply within one month. There's no charge in most cases.
If you're unhappy with how we've handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
How we keep it safe
All traffic to our website and app is encrypted. Access to client data is restricted by account and by role, and each business can only see its own data. Access keys for connected services are stored encrypted. We keep regular backups, and only people who need access to provide the service have it.
Messages sent for our clients
When a business uses LocalQuiver to ask its customers for a review by email or text, every message includes an opt-out link. Opting out stops further review requests from that business on that channel, and we record it so it sticks. Loyalty members can choose separately whether to receive offers by email or text and in their wallet.
Children
Our service is for businesses and isn't aimed at children.
Changes to this policy
We'll update this page if anything changes, and tell clients about significant changes by email.
